Privacy Policy

Who we are

This policy covers Katz Beauty Emporium (985 Bontebok Avenue, Allen's Nek, Roodepoort, South Africa), and applies to information collected through our website, in-salon QR review form, and loyalty program. It's written for compliance with South Africa's Protection of Personal Information Act (POPIA).

What we collect

We only collect what a feature actually needs to work:

• Bookings: your name and phone number, so we can confirm and follow up about your appointment via WhatsApp or phone.
• Loyalty program: your phone number (used to look up your card), optionally your name, and a password if you create an account.
• Reviews: your ratings and comments, and optionally your name and which team member helped you.
• Staff/admin accounts: a username, password, and two-factor authenticator secret for team members who manage bookings. This is operational data, not customer data.

How we use it

• Confirming, reminding about, and managing your bookings.
• Tracking your loyalty punches and rewards.
• Reading and acting on feedback to improve our service.
• Operating staff logins and scheduling.

We don't use your information for advertising, and we don't profile or track you across other websites.

How we protect it

• Names and contact details are encrypted at rest in our database, not stored as plain text.
• Passwords are hashed (never stored in a readable form); staff accounts also require a one-time authenticator code to sign in.
• Admin and staff areas are protected server-side on every request, with rate limits on login and password-change attempts to make guessing infeasible.
• Only the Owner role can see review details; access is limited to what each staff role needs.

Who we share it with

We do not sell, rent, or trade your personal information, and we do not share it with third parties for their own marketing. It's shared only with the service providers that make the site work:

• Vercel and our database host: infrastructure that stores and serves the site.
• WhatsApp: only if you choose to tap a "Send via WhatsApp" link, which opens WhatsApp with a pre-filled message you control; that conversation then happens on WhatsApp's own platform under its own privacy policy.

We may disclose information if required by law.

Cookies

We use a small number of strictly-necessary cookies to keep you signed in to the loyalty portal or staff admin area. See our Cookie Policy for details. We don't use analytics, advertising, or tracking cookies.

How long we keep it

We keep personal information only for as long as it's needed for the purpose it was collected for (e.g. running the loyalty program, keeping a booking history), or as required for legitimate business/legal record-keeping. You can ask us to delete your data at any time. See "Your rights" below.

Your rights (POPIA)

You can ask us to:

• Tell you what personal information we hold about you.
• Correct information that's inaccurate or out of date.
• Delete your information (e.g. close your loyalty account).
• Stop using your information for a particular purpose.

Children's privacy

Our services are intended for adults. We don't knowingly collect personal information from children without a parent or guardian's involvement.

Changes to this policy

If we make material changes to how we handle your information, we'll update this page and change the "Last updated" date above.
